TERMS AND CONDITIONS
The following terms and conditions have been prepared to help you make the most of Urban Om Yoga Ltd’s services. These terms and conditions, together with our privacy policy, constitute the entire agreement between you and us.
This relates to the services we provide when you are using our studios, attending our classes, visiting our website, and attending any workshop/event in which Urban Om Yoga Ltd organises and/or participates.
Definitions
‘Class’ means a class or activity provided by Urban Om Yoga Ltd. This can be both virtual (online) or physical (i.e. not online).
‘Member’, or “You” means someone who has completed our registration form, guest checkout or signed up to be a member of Urban Om Yoga electronically online or within the studio.
‘Urban Om Yoga’, ‘We’, ‘Our’ or ‘Us’ means Urban Om Yoga Ltd.
‘Yoga Activities’ means yoga group classes, individual private yoga sessions, yoga workshops, yoga retreats and yoga events.
‘Studio’ means the location at which the Class occurs as indicated by Urban Om Yoga.
By agreeing to our terms and conditions you are granted a personal, limited privilege to enter and use our studio without prejudice to our other rights, with immediate effect if you agree with the above. Please do not use any of these services if you disagree with any of our terms.
Our terms and conditions are subject to change at any time and without notice, and it is your responsibility to check these terms and conditions regularly before using Urban Om Yoga services.

1. MEMBERSHIP AT URBAN OM YOGA LTD
1.1 Types of memberships
We offer various membership options, including monthly and annual plans. Please refer to our website or contact us for details on current membership types and pricing.
1.2 Membership registrations
To become a member, you must complete our registration process, which includes providing accurate personal information, agreeing to these terms and conditions, and completing payment of membership.
1.3 Guest Purchases in lieu of membership registration
By booking a class or workshop as a guest, you agree to pay the specified fee for that class or workshop.
Payment must be made in full at the time of booking.
When purchasing a class, workshop or event, as a guest, you agree to our terms and conditions, which include your acknowledgment that participating in yoga classes and activities may involve the risk of personal injury.
By attending classes, workshop or events at Urban Om Yoga, you voluntary assume all risks and liability.
As a guest member, it is your responsibility to inform your teacher of any previous surgeries or medical conditions that may affect your ability to participate in yoga activities safely.
As a guest, you are liable to read and adhere to Urban Om Yoga’s full terms and conditions, in conjunction with our registered members.
All students attending a yoga class in guest or registered membership form, will be considered members in our Terms and Conditions and apply to all students who book with us.
1.4 Age requirements
Members and non-members must be at least 18 years old to participate individually in any of our Yoga Activities.
Minors 14 years old and above may participate in non-heated Yoga Activities with a parent or legal guardian. They will need to be registered individually and attend non-heated classes with a parent or legal guardian.
It is required to fill the ‘minor participation section’ at membership registration on both adult and minor registration forms to indicate parental or legal guardian consent.
Parents or legal guardians are responsible for the behaviour and health and safety of any minor accompanying them.
1.5 Membership usage
As a member, you are entitled to the following benefits:
• Access to scheduled Yoga Activities
• Use of studio facilities and equipment during operating hours
• Complimentary retail products and equipment rental (where applicable)
• Priority information to studio news and events
• Guest passes (where applicable)
• Discounts on workshops, events, retreats and retail products (if applicable)
Further details of our membership package duration, price and benefits can be found online on our website.
Full Om, Annual Om and DUO memberships are ineligible to receive 10% discounts on external collaborative events and workshops. Contact us to determine which of our collaborative events are specified in this category.
Annual Om and DUO membership unused guest passes become inactive upon membership cancellation. If membership is reinstated or transferred within three months, unused guest passes are transferred over to your new membership, with new expiration date.
1.6 Class reservations
Being a member does not reserve your place in a class. Class sizes are limited and subject to availability. You acknowledge that you will need to book in before a class to guarantee your space.
Pre-booking: there are 21 pre-bookable class spaces. Pre-booking is advised to secure your space.
Drop-in: we offer a limited number of drop-in spaces for each class on a first come basis. Drop-in clients should arrive early to secure their space.
1.7 Membership fees, packages and payments
You are entitled to only one trial offer. Attempts to register for multiple trials using different information will be considered a violation of these terms. Urban Om reserves the right to verify the identity and eligibility of participants. Any false or misleading information provided during registration will result in immediate disqualification.
The trial offer is non-transferable and cannot be exchanged for cash or any other products/services.
Membership fees are non-refundable and non-transferable.
Membership packages, unless stated otherwise, auto-renew.
Purchasing Part Om, Full Om, and DUO (monthly) membership, you enter into a 3-month minimum contract. You can cancel your membership anytime thereafter. You may transfer from one monthly membership to another within your initial 3-month contract. You enter into a 3-month minimum contract on each occasion when you sign up for one of these membership packages.
You must notify Urban Om Yoga in writing up to five working days prior to the next recurring membership payment, if you wish for your membership to be cancelled on your behalf.
While we endeavor to keep price changes to a minimum, membership prices can change at any time at the discretion of Urban Om Yoga.
Any lapses in membership, including failed payments will be dealt with individually and may lead to administrative charges.
1.8 Membership benefits
Note the following conditions regarding membership benefits:
• 10% discount on in-studio retail, this does not apply to sale prices and/or promotions
• 10% discount on workshops and events, this does not apply to sale prices and/or promotions. Additionally, does not include retreats.
• 50% discount on bottled water, this does not apply to other bottled drinks sold in-studio
1.8 Payment authorisation
By becoming a member, you authorise Urban Om Yoga Ltd to charge your designated payment method for recurring membership fees according to your chosen billing cycle (monthly, quarterly, or annually).
1.9 Payment disputes
Any billing disputes must be reported to us within 30 days of the disputed charge. We will investigate and resolve disputes in a timely manner.
1.10 Membership suspension
Memberships are eligible for suspension for extended leave, such as holiday, sickness or recovery and at Urban Om Yoga's discretion, twice over 12 months. The minimum you can suspend your membership is two weeks with a maximum of up to six weeks per suspension. You can choose when to use these twice-annual membership suspensions. During a membership suspension, no payments will be taken and no bookings for classes under your membership can be made.
Suspensions during the initial 3 months of membership, will extend this period by the amount of the suspension duration.

1.11 Acceptance and relinquishment
Acceptance of a member is at the sole discretion of Urban Om Yoga.
Urban Om Yoga reserves the right to relinquish membership, remove anyone from premises, and/or refuse to renew a membership for anyone who fails to comply with our terms and conditions.
2. PAYMENTS, PURCHASES AND BOOKINGS
2.1 All class bookings must be paid prior to attending class.
2.2 Prices are listed on our website. Our prices are subject to change, and we endeavour to give 30 days notice of any changes.
2.3 Payments for classes and membership packages are paid online through the booking system. While we have the option to book and take payment in-studio, pre-booking, and pre-payment is encouraged to guarantee a space for class.
2.4 Bookings can only be made online if you have an active membership by registering or by purchasing a drop-in class as a guest.
2.5 Registration for classes in-studio and on the virtual studio are available up to 20 minutes before class start time. Limited drop-in spaces are available in-studio only on a first come basis.
2.6 Late cancellations for classes, workshops, events and retreats
Cancellations within 3 hours prior to class start time cannot be refunded or credited.
For class packages, the class is forfeited from the package.
Cancellations within 48 hours for workshops will be charged in full.
For late cancellations on retreat bookings, please refer to our retreat terms and conditions, located on the retreat booking page.
2.7 Class credits on membership and packages
Class credits are non-transferrable and non-refundable.
It is not acceptable to use your class credit to book a space for a guest.
Where class credit is used to book a space for a guest, the guest will need to pay for the full class drop-in rate in-studio on arrival, as well as registering prior to attending class.
Memberships and class packs cannot be extended beyond their expiration date.
Remaining credit is not usable or valid after expiration. It is a member’s responsibility to plan their class usage accordingly within the stated expiration date.
2.8 Payments on cards will be in pounds sterling. We do not take responsibility for any additional charges levied by the individual financial institutions or credit card companies.
2.9 Starting a monthly membership or class pack has the option to be set up and to begin on a desired start date after purchase. Monthly recurring payments will continue on the original chosen start date until cancelled and/or reinstated.
2.10 When buying products from Urban Om Yoga, goods are returnable for refund or exchange 14 days from purchase provided that the goods are returned unopened in the same condition as when they were sold. This does not affect your statutory rights.
3. GIFT CARDS
3.1 Expiration Date
Our gift cards have an expiry date of 12 months following their issue. It is your responsibility to be aware of the gift card expiration date. Gift cards will lose their value after the expiry date period has lapsed.
3.2 Redemption Policies
Gift cards can be redeemed for classes. Gift cards can not be redeemed for equipment, refreshments, workshops, events or retreats, unless stated otherwise.
3.3 Transferability
Gift cards are often non-transferable, meaning they can only be used by the person to whom they were issued.
3.4 Cash Value
Gift cards cannot be exchanged for cash. They are meant for the specified services or products.
3.5 Lost or Stolen Gift Cards
Urban Om Yoga cannot replace lost or stolen gift cards.
3.6 Refund Policies
Gift cards are non-refundable.
3.7 Combining Gift Cards
Multiple gift cards can be combined for a single purchase.
3.8 Multiple transactions
Unless stated, gift cards cannot be used for multiple transactions.
3.9 Use with Other Offer
Gift cards cannot be used in conjunction with other discounts or promotions.
3.10 Terms Subject to Change
Be aware that gift card terms and conditions can sometimes change.
3.11 Gift card participants
Participants who practice at Urban Om Yoga Ltd through a gift card purchase are bound by Urban Om Limited's terms and conditions. By participating in a class, you have understood and accepted Urban Om Limited's terms and conditions.
4. STUDIO POLICIES
4.1 Classes Policy
You are expected to arrive on time for classes. Late arrivals may not be admitted to the class for safety reasons.
Members must check-in at reception before attending each class.
4.2 Changes and cancellations
Early cancelled classes above 3 hours of the class start time can be cancelled for full credit or refund. Please email us to ensure your class credit or refund has been issued.
There are times classes may be cancelled, or teachers may be substituted. These changes will be communicated by email to registered students.
No refunds can be given to students who are non-contactable due to incorrect contact information, or to drop-in students who are not pre-booked to class and cannot receive the communication.
No refunds can be given in an event in which short notice class changes or cancellations take place due to unforeseen circumstances.
If you sign up for a fully booked class, event or workshop, you will be automatically placed on a waiting list. Should there be a cancellation leading up to the class, event or workshop, you will be notified via email. It is a student’s responsibility to reply and confirm their space before it is offered to the next available person on the waitlist.
4.3 Studio Policy
In the event of a fire, members must follow all instructions of staff members of Urban Om Yoga. They must use the nearest exit available, leaving all belongings behind.
Urban Om Yoga has a no-smoking policy for all parts of our premises.
From time to time we may host special offers or promotions, which may have different or temporary terms and conditions.
Urban Om Yoga reserves the right to decline to accept orders where, in its opinion, a promotion code is invalid for the order being placed.
Urban Om Yoga Ltd and its’ staff are not responsible for any loss or theft of personal belongings. We provide lockers with keys to use for the safety of your belongings.
Please avoid wearing any jewelry or watches during class to prevent damage.
4.4 In-studio etiquette
All shoes should be left in the provided storage by reception. No shoes should be worn in-studio. Socks are acceptable.
You must be respectful of other students and the studio space.
Please be considerate to those relaxing in the studio before class starts and when the class finishes.
For in-studio classes, please use a towel if you are borrowing one of our mats. We have towels available to purchase at reception.
4.5 Marketing
By attending a class, you consent to having your photograph taken and being videoed from time to time. These may be used for social media or marketing purposes.
If you do not want your images taken or used, please notify Urban Om Yoga in writing immediately.
4.6 Communication
Members must notify Urban Om Yoga of any changes of address, email address or phone number. We use these details to communicate key information with our members, and therefore request that it be kept up to date.
Urban Om Yoga will communicate with you by email. By giving us your email, you give us consent to communicate with you in this way.
Unless informed otherwise, by giving us your email address, you agree to receive our communications.
Any marketing, educational documents, website content, logo, pictures or other materials produced by Urban Om Yoga remain the property of Urban Om Yoga.
5. HEALTH AND SAFETY
5.1 You acknowledge that you are fully aware that participation in classes, events or workshops involves risks and that you accept all the risks of participating.
5.2 You affirm that you are in proper physical condition to participate in any activity associated with Urban Om Yoga and its classes and are aware that there are risks in participating in any physical activity, potentially that which could result in injury.
5.3 You hereby give consent to receive treatment and care from a medical professional, if you are unable to give consent at the moment it is expedient to give treatment.
5.4 You are aware that it is advised to consult a physician prior to participating in or using our services.
5.5 You agree to declare all injuries, illness, pregnancy and medication being taken when filling out the registration form. If any of these circumstances change whilst being a member of Urban Om Yoga, you will make us aware in writing via email prior to undertaking any further classes.
5.6 You will notify the teacher immediately of any pain or major discomfort felt during class.
5.7 If at any point during the class you feel lightheaded or dizzy, you must take rest. It is the responsibility of the participant to self-assess they are fit and well during exercise or when rest is needed.
5.8 Our heated and hot yoga classes are intensive exercises and require an appropriate level of fitness and health. You are strongly advised to consult your doctor prior to undertaking any classes.
5.9 When a member attends a class, it is in the knowledge they are in physically good condition and know no medical or other reason why it would be detrimental to their health.
5.10 Staff members at Urban Om Yoga are not medically trained and are therefore not qualified to assess whether a member is in good physical condition or whether taking part in a class will be detrimental to their health.
5.11 Urban Om Yoga reserves the right to refuse a member entry to the class if they believe it could be detrimental to their health and safety.
5.12 If a member believes their practice is having a detrimental effect on their health they should seek medical advice immediately.
5.13 A member should not enter the studio if they have any infections, contagious illnesses, or diseases.
5.14 Members should follow the teacher’s instructions at all times to ensure their practice is as safe as possible.
5.15 It is the members' responsibility to familiarise themselves with the style of class they are attending and the ability or level of practice necessary.
5.16 It is a members' responsibility to indicate they are pregnant, or fall pregnant while being a member or attending regular yoga classes. It is a members' responsibility to attend safe and suitable classes for the health of themselves and their baby.
6. LIMITATIONS OF LIABILITY
6.1 Urban Om Yoga and its employees will not be responsible for any loss, damage, or theft of property, including bicycles left outside of the studio by you.
6.2 Urban Om Yoga cannot be held responsible for any personal injury, illness, or in the worst circumstance death that happens on our premises or as a result of our facilities or services provided.
6.3 It is your responsibility to ensure you are in the appropriate physical and mental condition to participate in a class or operate equipment. It is your responsibility to ask a member of staff for help.
6.4 Urban Om Yoga Ltd and its’ staff are not responsible for any loss or theft of personal belongings. We provide lockers with keys to use for the safety of your belongings.
6.5 We do not accept any liability in connection with any third-party websites that may be linked or accessible through our own site, and we do not approve or endorse the content of such sites.
7. GENERAL
Urban Om Yoga may choose to waive any breach of these Terms and Conditions. This does not stop them from following these Terms and Conditions at a later date.
8. DATA PROTECTION AND PRIVACY
8.1 Data Protection Act 1998, any of your personal information is your personal property and, as such, we realise this places serious responsibility on us. Any personal information that is given to us will be collected, stored and used in accordance with our Privacy Policy.
8.2 Please read our Privacy Policy, which is on a separate web page.
8.3 While we take all precautions to ensure your personal information is kept safe, we cannot be held responsible for any unauthorised access.
8.4 Your information is held by our third-party software supplier, Wix.com.
8.5 By completing your registration, both online or in-studio, you are applying to become a member of Urban Om Yoga which also enrolls you into our email subscription list. This can be unsubscribed to at any time. Business transactional and critical e-mail and messages will be sent irrespective of Urban Om's marketing subscription status.
